How Video Conferencing works

During the video conference:

  • Cameras simultaneously swap live pictures between the screens or projectors in each location
  • Cameras are fully adjustable via a remote control, to accommodate all variations, such as close ups, wide shots, preset functions etc
  • All VC's have picture in picture functions (pip) so you can see yourselves as well as the other sites
  • Recording of the entire meeting for future reference is available, as well as data sharing (presentations) via the units simultaneously
  • We also offer a bridging service, which allows Multipoint Video conferencing; this means you can have a call with numerous sites on different networks
  • It is also possible to have Audio participants join the VC also, for those that can't make it to a site

Bureau locations

Through our room providers we have access to rooms all over New Zealand, and the rest of the World. To set up a meeting at one of our bureaus, simply call our national booking centre on 0800 500 707. Our bureaus in New Zealand and globally are fully equipped to host video conference meetings.

The booking centres will co-ordinate the other national and/or international venues.

Video Conferencing equipment comprises of a TV screen, speakers, camera and Microphone

You can share data from your laptop between locations ie: presentations, PowerPoint etc

Helpful hints for the user

Before the conference

Confirm the conference details, including date, time and bureau location, with all participants, including the other end.

Appoint a conference Chairperson and a leader for each site involved.

Provide each conference participant with;

  • a written set of objectives for the meeting
  • an agenda
  • details of any plans, reports, visual aids or other items they should bring to the meeting
  • Have a dummy run before hand, to go over the content of your meeting.

Documents

Try using larger font so as participants can clearly read.

During a conference

Clothing - avoid wearing clothing with very bright or detailed patterns which may be distracting on-screen. Bright shiny jewellery should also be avoided, as it can reflect light and create a glare.

Introductions - ensure that the participants at each site have the opportunity to introduce themselves before the meeting begins.

Meeting Structure - make sure the agenda is closely followed, particularly the time allocated for each item. You may not be able to run over-time if the room is expecting another conference.

Participation - if you are involved in a multipoint conference, the conference chairperson should invite participants at each site to contribute to the discussion individually. In a multipoint conference avoid interrupting unnecessarily.

Movement - Fast movement is not always transmitted clearly on a video conference screen, and therefore should be avoided when possible.
